In today's fast-paced world, the ability to quickly and accurately process information is invaluable. Moveworks Copilot's new Brief Me feature is designed to streamline the way we interact with the countless files and documents that come our way. 

This blog will explore some of Brief Me’s technical intricacies, highlighting how our approach to information synthesis consistently produces summaries of incredibly high relevance. 

Real-time processing for real-time answers

Brief Me excels in real-time file ingestion and processing. This capability ensures minimal latency, allowing employees to quickly start engaging with their documents’ content immediately after uploading. The entire process, from file ingestion to processing to content Q&A takes only a few seconds.

Snippetization and file summarization for better reasoning

Brief Me uses an internally developed “snippetizer” to break down documents into smaller, manageable chunks of information. This parsing and snippetization process allows for a more granular analysis of the content. 

Additionally, a file summary process creates short descriptions for each file using GPT-4.0. This helps the Reasoning Engine identify the most relevant files for a given employee question or query. The descriptions and snippet metadata are stored within a secure Moveworks database, ensuring that all information is easily accessible and organized.

Embeddings-based vector database for larger long-term memory

One of Brief Me’s key strengths is its embeddings-based search approach, which transforms complex, high-dimensional data into lower-dimensional vectors that capture the essential context of a document. 

While including the entire document in the LLM's prompt would provide the most accurate retrieval, context window limitations make this impractical. Instead, embeddings allow Brief Me to extract and provide only the most relevant snippets, ensuring high recall and effective generalization to meet the query’s needs. By leveraging Moveworks’ in-house fine-tuned MPNet model, each snippet across all files is converted into embeddings. 

This enables Brief Me to quickly identify similarities and relevant information across vast amounts of data, delivering precise, content-aware responses and actionable insights.

Reasoning Engine-powered answer relevance

Brief Me’s reasoning architecture is designed to analyze crucial sections of documents rather than the entire content. This selective analysis speeds up the response time and refines the accuracy of the answers. 

Depending on the nature of the query, the Reasoning Engine decides whether to perform a comprehensive review of the entire file or a targeted search within specific sections. This ensures that only the most relevant data is utilized, streamlining the process for faster and more accurate outcomes.

Document grounding for verifiable responses

Brief Me responses are grounded specifically in uploaded document data. Every piece of information it delivers is directly sourced from the user-uploaded files, ensuring that the guidance and answers are reliable and trustworthy. This feature makes Brief Me an invaluable tool for users navigating through their document collections and referring back to the cited document sections.
